What Are Proposals?

Proposals are documents you send to prospects and customers to formalize a deal. In ParsaLink, proposals are created inside the CRM, linked to an Opportunity, and sent directly to a Contact. You can track when a proposal is opened and whether it’s accepted or rejected — without leaving the app.

Creating a Proposal

From an Opportunity record, click New Proposal, or go to the Proposals section in the sidebar.

Set proposal details

Give the proposal a title (e.g., “Enterprise License Proposal — Acme Corp Q2”). Link it to an opportunity and select the contact it’s going to.

Build the content

Proposals are structured in sections. Each section has a heading and a rich-text content block. Default sections include:
  • Executive Summary — A high-level overview of what you’re proposing and why it matters.
  • Scope of Work — What you’ll deliver, with specifics.
  • Pricing — Itemized pricing table with quantities and totals.
  • Terms — Timelines, payment terms, and conditions.
  • Next Steps — What happens after the prospect accepts.
Add, remove, or reorder sections to fit your deal.

Apply branding

The proposal automatically uses your workspace name and logo (configured in Settings → Workspace). You can also set a custom accent color for the proposal header.

Use AI to draft content

Click the AI Write button on any section to have Parsa AI generate a first draft. The AI uses context from the linked opportunity, account, and contact to personalize the content. You can edit the output before sending.

Send the proposal

Click Send Proposal. The contact receives an email with a link to a branded, web-rendered version of the proposal. No PDF download required — the recipient views it in a browser.

Proposal Sections and Branding

Each section supports full rich-text formatting: headings, bullet lists, bold/italic, tables, and embedded images. You can also insert template variables like {{contact.firstName}}, {{account.name}}, and {{opportunity.value}} to personalize the content dynamically. Your workspace logo appears in the proposal header. The proposal footer shows your workspace name and the contact’s name.

Tracking Proposal Status

When a proposal is Viewed, you’ll receive an in-app notification. This is a great signal to follow up while the proposal is top of mind. You can see the full view history (how many times it was opened and when) on the proposal detail page.

AI-Generated Proposal Content

Parsa AI can draft any proposal section. To get the best results:
  • Make sure the linked opportunity has a complete Description field.
  • Add relevant notes to the linked Account and Contact records before generating.
  • Provide a brief prompt in the AI Write dialog, such as: “Write an executive summary for a 12-month enterprise SaaS contract focused on operational efficiency.”
The AI output is a starting point — always review and customize it before sending.
Never send AI-generated content without reviewing it. Verify pricing tables, dates, and any factual claims before the proposal goes to the client.

Automating Proposal Follow-Ups

Use the Proposal Status Changed trigger in automations to:
  • Send a follow-up email when a proposal is viewed but not yet accepted after 2 days.
  • Move the linked opportunity to Closed Won when the proposal is accepted.
  • Notify the assigned rep when a proposal is rejected so they can reach out immediately.
